Tools We Use & Recommend (And Why)

Running a business today means juggling far more than just your core service or product. There are emails to manage, projects to keep on track, invoices to raise, marketing to organise and customers to keep happy. Thankfully, there are some fantastic tools available that can make business life considerably easier.

At NIMDA Business Services, we use a range of digital tools to help us stay organised, productive and connected. We don’t believe that businesses need to use every new piece of software that comes along, but finding the right tools for your business can make a huge difference to how efficiently you work.

Here are four of the tools we use and recommend and why we think they are worth considering.

Canva – Making Your Business Look Professional

You don’t have to be a graphic designer to create professional-looking marketing materials, and Canva is one of the tools we regularly use.

From social media graphics and promotional posters to presentations, documents and other marketing materials, Canva makes it much easier to create visually appealing content without needing specialist design software.

One of the things we particularly like about Canva is how easy it is to maintain consistent branding. Once your colours, fonts and logos are established, you can create materials that look professional and recognisable across your different marketing channels.

For a small business, this can be a real time-saver.

Instead of spending hours trying to create something from scratch, you can use templates and adapt them to suit your business.

Our tip: Create a brand kit and a selection of reusable templates for the things you regularly produce. This will save even more time and help keep your branding consistent.

Mailchimp – Keeping in Touch with Your Customers

Email marketing remains a valuable way of staying connected with existing customers, potential customers and your wider audience.

We use Mailchimp for creating and managing email campaigns and mailshots. It provides a straightforward way to put together professional-looking emails without needing to be a technical expert.

It can be particularly useful for businesses wanting to share newsletters, company updates, promotions, helpful information or links to new blog posts.

The benefit isn’t simply being able to send an email to lots of people at once. A well-planned email campaign can help you remain visible to your customers and remind them about the services you offer.

And, importantly, consistency matters. Sending something useful to your audience regularly can be much more effective than only contacting people when you want to sell something.

Our tip: Don’t make every email a sales pitch. Share useful information, tips, news and interesting content as well as promoting your services. Give people a reason to open your emails.

Xero – Making Bookkeeping More Manageable

Keeping on top of finances is one of those jobs that can quickly become overwhelming when you’re busy running a business.

Xero is cloud-based accounting software that can help businesses manage their finances more efficiently. It can be used for tasks such as invoicing, recording transactions, reconciling accounts and keeping an eye on business finances.

One of the major advantages of cloud-based accounting software is accessibility. You can access your information without being tied to a particular computer or office.

For businesses that want a clearer picture of what’s happening financially, having your records organised and up to date is incredibly important.

Of course, software doesn’t replace professional financial advice. However, having the right system in place can make the administrative side of bookkeeping much easier to manage.

Our tip: Don’t leave bookkeeping until the end of the month or worse, the end of the year! Keeping things updated regularly makes it much easier to see what’s happening in your business and reduces the dreaded financial admin backlog.

ClickUp – Keeping Projects and Tasks Under Control

As businesses grow, it can become increasingly difficult to keep track of everything that needs doing.

That’s where project management software such as ClickUp can be incredibly useful.

We use ClickUp to help organise tasks, projects and workflows. Instead of relying on scattered emails, notebooks or endless lists, everything can be brought together in one place.

Tasks can be allocated, deadlines added and progress monitored, making it much easier to see what needs to happen and when.

It can also be particularly useful when multiple people are involved in a project. Everyone can have visibility of their responsibilities and progress.

The key, however, is setting the system up properly. A project management platform can be incredibly powerful, but if it becomes cluttered or complicated, people can stop using it effectively.

Our tip: Keep your ClickUp setup as simple as possible. Create clear workflows, sensible task lists and consistent processes rather than trying to use every feature available.

It’s Not Just About the Software

There are hundreds of business tools available today, and new ones appear all the time.

But here’s the important thing: the software itself isn’t going to solve your business problems.

You need to choose the right tools for your particular business and, more importantly, use them properly.

A fantastic CRM won’t help if nobody updates it. A project management system won’t keep projects on track if tasks aren’t maintained. An email marketing platform won’t generate results if you’re not communicating with your audience consistently.

The technology is there to support your processes not replace them.

That’s why at NIMDA we look at both the tool and the process behind it.

How NIMDA Can Help

You don’t necessarily need another piece of software. Sometimes you simply need someone to help you get the most out of the systems you already have.

At NIMDA Business Services, we can help with the day-to-day administration behind your business, from managing tasks and projects to supporting your marketing, email campaigns and general back-office processes.

We can also help you identify areas where your current systems could be working harder for you.

Because ultimately, the goal isn’t to have lots of fancy software.

It’s to have the right systems working together so that you can spend less time on administration and more time running and growing your business.

If your business feels like it has too many systems, too many tasks and not enough hours in the day, it might be time to look at what’s happening behind the scenes.

That’s where NIMDA can help.
